Inca Expedition Tours operates in developing regions where service standards may not be what is normally expected. However, our team of professionals and experts strives every day to provide the best service standards to our clients. Traveling through the Andes, Cusco – Peru requires a great deal of flexibility, patience, open-mindedness, good humor, and an understanding that changes may be made without prior notice due to force majeure circumstances beyond our control. By booking any of our tours, you agree that Inca Expedition Trips will make the necessary changes without liability.


Force Majeure

This refers to any event that Inca Expedition Trips cannot control, foresee, or avoid. These include incidents such as wars, riots, civil unrest, terrorist activities, industrial disputes, illnesses, adverse natural disasters, fires, or similar events, as well as flight and railway company cancellations or rescheduling. In such cases, Inca Expedition Trips will not accept responsibility and reserves the right to change, postpone, or, as a last option, cancel the tour.


Risks

By booking any of our tour packages, especially adventure trips such as the Inca Trail to Machu Picchu, Salkantay, Ausangate, Choquequirao, Lares, Huchuy Qosqo, the Rainbow Mountain, etc., you acknowledge that these are outdoor activities where you will be exposed to certain risks. Therefore, you assume all associated risks, and Inca Expedition Trips accepts no responsibility.


Travel Insurance

Accident or travel insurance policies are not included in the prices of our packages. However, if a group member becomes ill or incapacitated, we will provide first aid. If medical attention from specialists is required, we will assist in transferring the person to the nearest medical center. Inca Expedition Trips will not be responsible for any expenses incurred. Therefore, we strongly recommend that you obtain travel insurance that covers accidents, medical expenses, and emergency repatriation, including rescue and air ambulance services. We also recommend coverage for cancellations and loss of luggage. Please email us a copy or the name of the insurance company and the policy number.


Illness or Disability

Anyone who has an illness, is not in good physical condition, or is undergoing medical treatment must declare their true condition at the time of booking. Failure to disclose this information will constitute a breach of these booking conditions, and we will be forced to exclude that person from the excursion, in which case it will be 100% non-refundable.


Modifications and Date Changes to Your Booking

Inca Expedition Trips will proceed according to the type of tour you have booked.

For all tours, we may correct typographical errors or update passport numbers. On some tours, we may also change the tour start date and time.

Once the Inca Trail permit has been issued in your name and for a specific date, it CANNOT be changed and is non-transferable. If you wish to change the date, you must purchase a new entry permit if available. This is 100% non-refundable.

Any modification to your original booking will be confirmed in advance by email.

All administrative expenses incurred as a result of amendments will be charged to the passenger, while all reasonable efforts will be made to accommodate changes and additional requests.


Cancellation of Your Booking

If you cancel your booking, please take into account our cancellation policies.

If you cancel any tour, deposits are 100% non-refundable.

Cancellation of a tour within 7 days of the departure date will incur a loss of 100% of the total tour cost.

Our tour prices vary depending on group size. If you initially booked for a certain number of people and some later cancel, the remaining participants will pay the price corresponding to the actual number of travelers.

If, while in Cusco, you are unable to continue the trip, the rest of the group will proceed as planned. For you, if you are ill, we will modify the itinerary so that you can at least visit the Inca city of Machu Picchu. For this, an additional fund is required.


Trains, Buses, and Flights

If you cancel train, bus, or air transportation services, tickets already issued are 100% non-refundable. Inca Expedition Trips will not be responsible.


Age Policy

We recommend that people over 60 years of age obtain medical evidence of physical fitness to travel on the chosen itinerary.

We do not accept reservations for minors under 18 years of age unless accompanied by a parent or guardian who accepts full responsibility for them.

If a passenger’s health or conduct before or after departure appears to endanger the safe, comfortable, or enjoyable progress of a trip, the passenger may be excluded from all or part of the route.


Student Rate

To qualify for the student discount, you must have a valid university student card at the time of the tour (maximum age 25). It is important that you send us a high-quality photo or scan of your card at the time of booking. You must present your original card upon arrival in Cusco, on the Inca Trail, and at Machu Picchu. Otherwise, you will be charged the adult rate and will not be allowed to enter the Inca Trail. Inca Expedition Trips will not assume responsibility for the consequences.

Children under 18 years of age also receive a discount. To qualify, it is important to send us a photo or scan of the passport at the time of booking, and the child must be accompanied by parents or guardians. Otherwise, the adult rate will apply, and Inca Expedition Trips will not be responsible for the child or adolescent.


Documents

It is each passenger’s responsibility to ensure that their personal documents are in optimal condition. At the time of travel, your personal document must be valid and must be the same document used to book the tour. If you made updates after booking, please email us the updated information. Otherwise, Inca Expedition Trips will not be responsible for any negative consequences that may occur due to outdated documents or an unupdated reservation.


Responsibilities

Inca Expedition Trips will be obliged to modify or withdraw any travel arrangement when deemed necessary in the best interest of the clients.

Inca Expedition Trips is not responsible for injuries, illnesses, damages, losses, additional expenses, accidental delays, or other irregularities that may be caused by voluntary or negligent acts or omissions by companies or individuals providing transportation, accommodation, or other services related to the tour.


Equipment Rental Policy

Rental costs for sleeping bags, trekking poles, extra tents, etc., are calculated according to the number of tour days contracted. Although you will not use the equipment on the last day, it will still be in use during the trip.

If you rent equipment and damage or lose it, you are responsible for the replacement or repair cost. We kindly ask you to take care of it.


No-Show Policy

If a passenger is not present at the designated place and time for any of our services—buses, trains, flights, hotels, restaurants, or tour departures—they will lose the contracted service and will not be entitled to any refund. If the passenger wishes to resume the contracted service, additional expenses will be borne by the passenger.

Unless the passenger notifies us of a delay more than 24 hours in advance or presents a credible justification such as a medical certificate, Inca Expedition Trips will proceed with changes or rescheduling of the service. The passenger will assume any penalties for changes or rescheduling. Inca Expedition Trips will not be responsible for any expenses incurred.


About Inca Trail Reservations

Book in advance.

There are regulations imposed by the Peruvian government that limit access to the Inca Trail to 500 people per day, including guides, cooks, and porters who must carry all camping equipment. The regulations do not allow pack animals on the Inca Trail in order to preserve the ancient stone path.

Support staff make up nearly 75% of the people entering per day, and due to high tourist demand, spaces for hikers sell out quickly. For this reason, if you wish to hike this incredible trail, you must book at least 5 to 6 months in advance and through an authorized travel and tourism agency permitted to operate the Inca Trail, such as Inca Expedition Trips.

By providing us with a primary date and a backup date for your hike (Classic Inca Trail), you automatically authorize Inca Expedition Trips to use either of those dates for your reservation. Within the next 48 hours (after you send us all your personal information and confirm that the deposit has been made), we will send you an electronic receipt confirming that your trip has been booked and specifying the exact departure date of your hike.


Required Information

First, choose three different dates: the first should be your primary date, and the other two optional backup dates in case we cannot reserve your first choice. This does not happen often, as the Inca Expedition Trips team works to secure the first option.

Send us all required information for each hiker in your group:

  • Full name as shown on the passport
  • Passport number
  • Date of birth
  • Nationality
  • Gender

Please send us a high-quality photo or scan of your passport, as any error or change could invalidate your permit to enter the Inca Trail. Inca Expedition Trips will not be responsible in such cases.

Once we have all the required information and the deposit, we will be ready to make the reservation.


About Inca Trail Campsites

The campsites mentioned in our 4- and 6-day Inca Trail programs are for reference only, as they depend on availability at the time of booking and are assigned by the Peruvian government through the Ministry of Culture.


Deposits and Refunds

To officially reserve any of our packages, we require the following deposits depending on the type of tour:

  • To reserve Inca Trail tours of 1, 2, 4, and 6 days and other adventure tours, a deposit of 30% of the total is required. We can only confirm the reservation after receiving the non-refundable deposit.
  • To confirm cultural tours, a deposit of 50% of the total is required. Remember, the deposit is non-refundable. The deposit is used to purchase Machu Picchu entrance tickets, train tickets, and hotel reservations, and once a space is purchased, it cannot be resold.
  • To reserve airline tickets, a 100% deposit is required.

The remaining balance must be paid at least 24 hours before the start of the tour (in cash, in US dollars or Peruvian soles). Otherwise, the reservation will be canceled.

Inca Expedition Trips will not issue refunds if a participant decides to cancel before or during the tour.

If Inca Expedition Trips does not confirm the reservation, your payment will be fully refunded.
